What setting this up involves

First, what you have and what you are paying for. There is usually a licence nobody uses and a plan that does not fit. That review often pays for the work.

Then the domain: mail records set up properly so your email is trusted, your own domain on every address, and the old mailboxes migrated without losing history. This is the part that fixes the junk-folder problem.

Then the accounts themselves — one login per person, multi-factor authentication turned on, shared files where they belong rather than on a desktop, and a documented way to close an account the day somebody leaves.

This normally sits alongside ongoing business support and a look at the network, because email problems and network problems are frequently the same problem.

Can you move us from Gmail to Microsoft 365 without losing anything?

Yes. Mail, contacts and calendars migrate across, and the old addresses can keep receiving during the changeover so nothing is missed. It is usually done over an evening or a weekend so nobody loses a working day.

Why is my email going to customers' spam folders?

Almost always missing or misconfigured SPF, DKIM and DMARC records on your domain. Those tell receiving servers that mail claiming to be from you is genuine. They are free, they live in your DNS, and getting them right is the difference between arriving and being filtered.

Do we need Microsoft 365 at all?

Not necessarily. If email is all you need, there are cheaper ways to get it on your own domain, and you should be told that. Where 365 earns its money is shared files, calendars, Teams and proper account control across several people.

What happens when someone leaves?

Their account gets disabled the same day, their mail either forwarded or converted to a shared mailbox so nothing is lost, their files moved somewhere the business owns, and the licence released so you stop paying for it. Written down in advance so it is not improvised on the day.
